Excel Is Quietly Costing You Deals: When It's Time to Move to a CRM

We love Excel. Half of India’s commerce runs on it, and for a young pipeline it’s genuinely the right tool. But spreadsheets have a failure mode: they don’t complain when they stop working — they just quietly leak deals. Here are the five signs the leak has started.

1. “Whose version is latest?” is a daily question

The moment your sheet has copies — laptop, email, one modified on someone’s phone — you no longer have data, you have folklore. Deals fall through version cracks.

2. Follow-ups depend on memory

Excel records what happened; it never taps your shoulder about what should happen next. Every missed “call them Tuesday” is revenue someone else collected. The switch pays for itself the first time a ₹2-lakh enquiry doesn’t get forgotten.

3. You can’t answer “why do we lose?”

Lost-reason analysis needs structured data. When losses live in a Remarks column (“said costly”, “no response”, “later”), no pattern ever emerges — and pricing, pitch and product feedback stay guesses.

4. A resignation would hurt

If a departing salesperson takes relationships, history and half-finished negotiations in their head and phone, your pipeline was never an asset — it was a rental. A CRM makes it company property.

5. You’ve started colour-coding

Red rows, yellow highlights, three bold columns — congratulations, you’ve hand-built a CRM inside Excel, minus reminders, minus mobile, minus history. The instinct is right; the tool has run out.

The honest threshold: under ~30 active enquiries, keep the sheet. Beyond that, every week of delay costs more than a month of any sensible CRM subscription.
