CRM data doesn’t rot loudly. It accumulates duplicates when the same buyer enquires twice, dead numbers as businesses close, and ghost deals nobody has touched since March. Left alone, reps stop trusting the system — and a distrusted CRM is a dead CRM. The antidote is boring and effective: a monthly hour, owned by one person.
Minutes 0–15: merge duplicates. Match on phone and GSTIN, never on names — “Sharma Trading” exists in every district of India. Merging preserves both histories; deleting loses one. Good CRMs surface probable duplicates automatically; approve the merges monthly.
Minutes 15–30: retire the unresponsive. Filter contacts with 8+ touches and zero response across 90 days. Move them to a nurture list — out of active pipelines, still reachable for festival campaigns. Focus is a feature; a 400-lead active list where 300 are corpses buries the 100 that matter.
Minutes 30–45: age out ghost deals. Any deal untouched for 45+ days gets a verdict: revive with a scheduled action, or close honestly with a reason. Pipeline value that includes fossils misleads every forecast built on it.
Minutes 45–60: fill the profit fields. Pick one field per month — industry, city, source — and complete it for active records. Segmented data is what makes next quarter’s campaigns targetable.
Hygiene assigned to “everyone” is done by no one. Name an owner, book the recurring hour, and track one number month over month: connect rate — conversations per hundred dials. Watching it climb from 22% to 40% is what turns the routine from chore into habit.
